Project closure

While you may be Monitoring Progress for many Delivery cycles, eventually all of the work planned in your project roadmap will be complete. After any remaining bugs caught by Quality Assurance have been squashed, it will be time to close the project with the client. We know it’s sad to say goodbye, but it’s all part of the circle of (project) life.

The circle of life

Most of the project closure process happens during your final sync meeting with the client where you should:

  • Review all final deliverables
  • It’s good to create a feedback deadline with your client at least a few days before the delivery date so you can receive their last round of feedback and make sure your team has enough time to implement it
  • Confirm that all of the agreed upon work has been delivered according to the client’s requirements and expectations
  • Guide the client through how to maintain and update the project so they can manage it going forward
  • Discuss any plans for additional work packages and next steps

Immediately following the meeting, be sure to deliver all necessary documents, links, instruction manuals, and access credentials to the client.

While it may make sense to close a few communication channels, you should leave at least one line of communication open between you and the client (usually either Slack or email) so they can contact you with any questions or request add-on work.

Within a week after closing the project, it’s also good to organize a retrospective meeting with your team to understand what went well, what didn’t, and how they can improve in future projects. If you want to give anyone on the team a gold star for their work, you can tag them in a message on the Shoutouts Slack channel to give them the public props they deserve!

Additionally, Significa may want to request feedback, a Clutch review, or showcase the client’s project on our website, so you may need to ask the client for their support. Either way, check in with the operations and marketing teams after the project closes to align on how best to proceed.
